- Entradas: fuente vigente, ejemplo aprobado y materiales permitidos.
From Freelancer to Studio: Prepare the First Handoff
A small studio’s first collaboration often begins with an apparently simple task. Trouble appears when instructions, decisions and quality criteria still live only in the founder’s head.
Delegate a unit of work with clear inputs, bounded authority and an agreed review. Adding another person does not automatically remove coordination.
Choose a unit of work you can describe
Instead of delegating “help me with the client,” choose a reviewable outcome: preparing six product records from approved information. Identify what input starts the work, what document completes it and which parts stay with you. If describing the task requires telling the entire business story, it may need a smaller scope.
This is an operational exercise, not a recommendation for a particular employment arrangement. Before expanding capacity, check whether the service is sufficiently defined. Our service-validation guide addresses demand and delivery assumptions; this article addresses handing an already chosen task to another person.
Provide a usable starting package
In our fictional example, the package contains the product table, an approved record, authorized images, formatting instructions and a list of missing information. It does not include passwords shared through messages or other clients’ files. Provide only the access the task requires and explain where the current version lives.
Ask the person to identify a missing input before starting. If a product measurement is absent, the task should allow it to be marked pending rather than invented. An approved example shows concrete decisions; it does not make every new case identical.
Separate production, decisions and review
GitLab’s handbook describes an individual responsible for an activity. We use that distinction as a reference: visible responsibility and participation are not the same thing. For a small task, state who prepares the work, who resolves scope questions and who approves the result.
For the fictional records, the collaborator may correct formatting and flag conflicting facts. The founder decides scope changes and asks the client about missing information. Neither promises new client deadlines without reviewing workload. Also identify who acts when the reviewer is unavailable.
Review while correction is still practical
Do not wait for six completed records to discover different interpretations of the example. Agree to review one representative record before finishing the set. Compare the result with the brief and identify missing rules instead of simply saying “that is not what I expected.”
Atlassian offers a working-agreements exercise to make collaboration explicit. Our adaptation is a brief discussion about the question channel, available response time, review point and how to report a blocker. The agreement must fit the real day; our workday-planning guide helps reserve that space.
Use this handoff record
- Expected outcome: the file or state that can be reviewed.
- Inputs: current source, approved example and permitted materials.
- Local decisions: what the person doing the task can resolve.
- Escalations: what requires consultation before continuing.
- Intermediate review: the sample to inspect and its reviewer.
- Completion: criteria, delivery location and declared open questions.
Fill the record with one authorized real case and test it before extending it to every task. If an instruction changes during execution, record the new version and who needs to know. This is an original editorial working aid, not process certification.
Evaluate coordination as well as the deliverable
At completion, record corrections, recurring questions and the coordination time you actually observed. Do not attribute every repetition to the newcomer: it may reveal incomplete inputs or a criterion nobody had explained. Equally, do not infer permanent capacity from one successful delivery.
Before the next assignment, change one instruction or example that caused confusion. If the adjustment affects a client commitment, communicate through the agreed channel. Our proposal follow-up guide helps preserve context and next actions. A studio begins operating as a team when necessary decisions no longer depend on guessing.
