THE USEFUL IDEA

Compare scope and logistics as well as the total. A reference photograph expresses an intention; it does not confirm items, measurements or availability.

Start with a one-page brief

Record the tentative date, municipality, venue address, estimated guest count and type of gathering. Separate guest hours from the permitted installation and collection windows. Mark unresolved decisions as pending instead of inventing precision.

Attach photographs or a sketch showing relevant access points and obstacles. Note stairs, unloading distance and venue restrictions. Share only information needed to assess the service; a private guest list is unnecessary for an initial request.

Ask the same questions of each proposal

  • Which model, size and quantity does each line include?
  • Are transport, installation, collection and staff included?
  • Which access windows has the venue authorized?
  • How are changes, damage, cancellation and returns documented?
  • Who confirms availability, and when is it actually reserved?

Keep the reviewed version and avoid combining lines from different proposals. A lower total may reflect different scope; ask questions before treating services as equivalent.

Resolve open points before installation

Assign one contact for the event and another for the supplier. Share the accepted version, access directions and confirmed changes. Recheck quantities and timing whenever attendance changes.

Our proposal follow-up guide helps separate an inquiry from acceptance. The Content Brief Builder can organize an explanation your team needs to publish; it does not replace a quotation or reserve stock.
